Integrations
How an online retailer connected its shop, warehouse and accounts so orders only get entered once.
Client
Timeline
1-week audit, 3-week build
Tools
Shopify, ShipStation, Xero, Slack

The problem
Every order was typed into three systems by hand: the warehouse tool, the stock sheet and the accounts.
Refunds and exchanges made it worse. Stock levels drifted, a few orders shipped twice each month, and month-end meant hours of matching payouts to sales.
What we built
An integration that moves every order, refund and stock change between the shop, the warehouse and Xero automatically.
When something doesn't match, such as a refund without a return or stock below zero, it posts to Slack with a link to the order. Everything else flows through without anyone touching it.
Before
Order placed → copied into the warehouse tool → stock sheet updated → sale entered in Xero → refunds handled by hand in all three.
After
Order placed → warehouse, stock and Xero update together → refunds sync the same way → mismatches flagged in Slack.
Orders entered twice
Back per week
Paid back in
“Stock is finally right, refunds sort themselves out and month-end takes an afternoon instead of three days.”
